Welcome to Sukimail! To ensure high deliverability and compliance with email best practices, all accounts undergo a manual approval process before sending is enabled. This page outlines what you need to know before getting started.

🚫 Strictly Prohibited: No Cold Outreach

Sukimail does NOT support cold outreach, purchased lists, or scraped email addresses.

We are designed exclusively for legitimate email marketing to recipients who have explicitly opted in to receive communications from you. Any attempt to use our platform for cold outreach will result in immediate account suspension.

  • No purchased lists - We do not allow email lists purchased from third parties
  • No scraped lists - Email addresses obtained through web scraping are prohibited
  • No cold outreach - Unsolicited emails to recipients who haven't opted in are strictly forbidden
  • No rented lists - List rentals from brokers are not permitted

All email addresses must be obtained through legitimate opt-in methods where recipients have explicitly consented to receive emails from your organization.

Account Approval Process

All new accounts start in a "Pending" state and cannot send campaigns until manually approved by our team. Our approval checklist includes:

  1. Website Review: We verify that you operate a legitimate business with a functional website
  2. Use Case Evaluation: We review your intended use case to ensure it aligns with legitimate email marketing practices
  3. Sender Identity Verification: We confirm your business identity and that you have the right to send emails on behalf of your organization
  4. List Source Confirmation: You must provide documentation confirming that your email lists were obtained through legitimate opt-in methods
  5. Domain Ownership Verification: You must verify ownership of your sending domain
  6. Domain Authentication Setup: SPF and DKIM records must be properly configured before approval

Approval typically takes 1-3 business days. You will receive email notification once your account is approved or if additional information is needed.

Required Setup Before Approval

Domain Authentication (Mandatory)

Before your account can be approved, you must configure:

  • SPF (Sender Policy Framework): Required - Must be properly configured
  • DKIM (DomainKeys Identified Mail): Required - Must be set up and verified
  • DMARC: Strongly recommended for optimal deliverability

Our support team will guide you through the domain authentication setup process. Sending will not be enabled until these records are verified.

Double Opt-In (Recommended)

We strongly recommend (and may require) double opt-in confirmation for all email subscriptions. This means:

  1. Recipient signs up or provides their email address
  2. Recipient receives a confirmation email
  3. Recipient clicks the confirmation link
  4. Only then are they added to your list

Double opt-in significantly improves deliverability and reduces the risk of spam complaints.

Default Sending Limits

To protect deliverability and prevent abuse, all new accounts start with very conservative sending limits:

  • Daily Sending Cap: 100 emails per day (per account)
  • Per-Campaign Limit: Maximum 100 recipients per campaign
  • Per-Hour Throttling: Maximum 10 emails per hour
  • Weekly Limit: 500 emails per week

These limits are intentionally low to ensure new accounts maintain clean metrics. Limits increase gradually through our warm-up plan as your account demonstrates good deliverability and compliance.

List Import Restrictions

To prevent abuse and ensure compliance, we implement strict controls on list imports:

  • Source Confirmation Required: You must confirm the source of all imported email lists
  • Size Limits: Imports above 1,000 addresses require manual review before processing
  • Documentation: Large imports may require documentation proving legitimate opt-in methods
  • No Purchased/Scraped Lists: Any indication of purchased or scraped lists will result in rejection
  • Verification: We may spot-check imported addresses to verify legitimacy

Automated Monitoring & Enforcement

Our system automatically monitors all accounts and enforces compliance:

Auto-Pausing Thresholds:

  • Bounce Rate: Auto-pause if hard bounce rate exceeds 5% or total bounce rate exceeds 10% (rolling 7-day window)
  • Complaint Rate: Auto-pause if complaint rate exceeds 0.1% (1 complaint per 1,000 emails sent)
  • Hard Bounce Spike: Auto-pause if sudden spike in hard bounces detected (more than 10 hard bounces in 1 hour)
  • Unsubscribe Rate: Alert if unsubscribe rate exceeds 2% (investigation required)

When thresholds are exceeded, sending is automatically paused and you will receive email alerts. Accounts remain paused until issues are resolved and reviewed by our team.

Required Email Practices

All emails sent through Sukimail must include:

  • Unsubscribe Link: Clear, functional unsubscribe link in every email
  • List-Unsubscribe Header: Proper RFC 2369 headers for one-click unsubscribe
  • Sender Identification: Clear identification of sender and valid contact information
  • Consistent From Address: Use consistent "From" addresses that accurately represent your organization
  • No Misleading Content: Subject lines and content must be truthful and not misleading

Warm-Up Plan

New accounts follow a gradual warm-up plan to build sender reputation:

  • Week 1-2: 100 emails/day maximum
  • Week 3-4: If metrics remain clean, increase to 250 emails/day
  • Month 2: If metrics remain clean, increase to 500 emails/day
  • Month 3+: Gradual increases based on account history and deliverability metrics

Limits only increase if bounce rates stay below 2%, complaint rates stay below 0.05%, and no policy violations occur. Sudden spikes in volume are prevented automatically.

  1. Sign up for an account
  2. Complete your profile with accurate business information
  3. Verify your domain ownership
  4. Configure SPF and DKIM records (our team will help)
  5. Submit your account for approval with use case details
  6. Wait for approval (typically 1-3 business days)
  7. Once approved, start with small test campaigns to your verified list
